How to do the things contractors ask about most. On a phone, Settings is the gear at the top of the screen.

Nothing matches that. Email support@builderpro-os.com and we'll help.

Getting started

What should I set up first?
  1. Settings › Business: your business name, logo, trade and service area.
  2. Settings › Hours & replies: your opening hours, which also set your booking times, and the text a missed call gets back.
  3. Settings › Business number: bring in the number your customers already call and text (see below).
  4. Settings › Lisa (receptionist): tell Lisa about your business, then publish her (see below).
  5. Settings › Team: invite your office and crew leads.

The short tour that runs when you first sign in can be replayed any time: ? at the top on a computer, or Apps at the bottom on a phone.

How do I set up Lisa, the AI receptionist?
  1. Open Settings › Lisa (receptionist). Lisa already knows your business name, trade, phone, service area and hours from Settings.
  2. Under What Lisa knows, write in plain English, like you'd brief a new office hire: your services (and what you don't do), pricing guidance (ballpark ranges; she never invents exact prices), common questions and your rules.
  3. Try her on the Test Lisa tab.
  4. Press Publish to Lisa. Until you publish, she answers from your Settings only.

Each plan includes a number of Lisa call minutes a month; Settings › Plan & billing shows how many you've used.

Can I keep my existing business phone number?

Yes. BuilderPro gives you a number for Lisa and texting, but your customers keep using the number they already have. Open Settings › Business number, enter your number and choose what kind it is (cell phone, landline or office phone, or an internet phone like RingCentral or Google Voice). The steps for that kind of number appear on the screen. Texting from a business number needs carrier registration, which takes from a few days to two weeks; we start it with you.

How do I give my office and crew their own logins?
  1. Open Settings › Team.
  2. Under Add someone, enter their email and pick Crew or Office, then press Send invite. They get an email with a link to set their password.

Office sees everything you see except billing and the Team page. Crew sees projects, the calendar, materials and messages, but no money and no settings. Subcontractors get their own login from Jobs › Subcontractors and see only the jobs you put them on. How many logins you get depends on your plan.

Jobs and crew

How do I add a job?

Go to Jobs › Active and press + Add job. Open any job to see its schedule, budget, photos, payments and crew. Jobs that need your attention (behind schedule, no plan, nobody assigned) have their own filters at the top of the list, and finished steps can be ticked off with Finished or Not yet.

How do I keep track of my crew's hours and costs?

Go to Jobs › Employees and press + Add someone to add each person with their trade, pay and whether they're W-2 or 1099. This is your records list. To let them sign in, invite them from Settings › Team, as above.

Crew clock in and out from their own login with Clock in. The app uses their location at that moment so the time lands on the right job, and their hours then show against the job's labor budget.

Does BuilderPro work on my phone?

Yes. Sign in at builderpro-os.com from your phone's browser, and add it to your home screen for one-tap access. Apps for iPhone and Android are on the way and will use the same login.

Estimates, invoices and payments

How do I send an estimate?
  1. Go to Finances › Estimates and press + New estimate.
  2. Work through the six steps: Job, Materials, Labor, Other, Price and Send. The bottom bar shows what the customer pays and your margin as you go.
  3. At Send, you can send one option or let the customer choose between good, better and best options.

Your customer gets a link to a web page where they can read, approve and sign the estimate on their phone; they don't need an account. Drafts you haven't sent stay under Drafts.

How do I send an invoice?

Go to Finances › Invoices. Jobs with a payment coming due show up under Ready to invoice: choose a payment plan, check it with Preview, then press Confirm and send. For anything else, press + New invoice. Paid in cash or by check? Use Mark paid on the invoice.

How do customers pay me by card?

Connect your own Stripe account once: Finances › Payouts › Finish on Stripe. After that, every invoice link has a pay button, and the money goes straight to your Stripe account and on to your bank. BuilderPro never holds your customers' payments. Stripe's normal card fees apply.

What does my customer see?

Every estimate, contract and invoice you send is a link to a simple web page with your business name on it. Customers can also create a free homeowner account to keep all their projects, photos, payments and messages with you in one place.

Leads and customers

Where do my leads and contacts live?

In Leads › Contacts. Calls, texts, website forms, calculator leads and bookings land there by themselves. Press + New contact to add one by hand, or Export CSV to download your list. Conversations (texts, calls and email) are under Conversations.

How do customers book with me?

They call, text or chat on your website, and Lisa books the inspection using your opening hours from Settings › Hours & replies. Calculator visitors are sent to you as leads to call back. New bookings appear on your Calendar, which shows inspections and jobs together.

Your plan and account

How does the free trial work?

You get 14 days free. A card is needed to start, and nothing is charged until the trial ends; cancel before then and you're never charged. After that your plan renews each month. See the Terms of Service for the details.

How do I change my plan or add the Website add-on?

Open Settings › Plan & billing. Press Switch next to another plan, or Add for $49/mo under Website, and we build and host your site. Questions about an invoice or your card: Contact us about billing on the same page.

How do I cancel?

Settings › Plan & billing › Cancel my plan. Your plan keeps working until the end of the period you've paid for; on a free trial, you're never charged. Changed your mind? You can keep your plan any time before that date. Your data stays for 30 days after the plan ends.

I forgot my password, or lost a phone

Forgot it: on the sign-in screen, enter your email and tap Forgot password; the email has a link to set a new one. Change it: Settings › Security. Lost a phone: Settings › Security › Sign out of all devices, then sign back in with your password.

How do I delete my account?

Settings › Security › Delete my account. We confirm within 2 business days, cancel billing, and finish within 30 days. Homeowners: My projects › Delete my account, which takes effect right away. More on Data Deletion.
